Payment, Booking & Cancellation Policy

1. Payment & Booking Confirmation

Full payment is required no later than 14 days prior to the event date.

Bookings are confirmed and dates secured only upon receipt of cleared funds. We are unable to order produce, allocate preparation time, or commit resources until payment has been received.

For events taking place within 14 days of the event date, payment is required immediately.

Fox & Finch Catering and Fox & Finch Corporate Catering reserves the right to release unconfirmed dates where payment has not been received in accordance with these terms.

2. Short-Notice & Expedited Procurement

To ensure the highest quality ingredients at trade pricing, final confirmation details and payment must be received within agreed timeframes.

Where confirmation or payment is received within four working days of the event date, or where delays result in supplier cut-off times being missed, retail purchasing or expedited sourcing may be required.

In such cases, the following charges may apply:

Orders under £500 – £35 Expedited Sourcing Fee

Orders over £500 – 10% Expedited Procurement Surcharge

These charges reflect increased supplier costs, reduced trade discounts, and additional procurement time.

Clients will always be advised in advance if an expedited sourcing charge is necessary.

3. Price Adjustments

Pricing is subject to review.

Where a price increase is announced, existing rates are secured only on bookings paid in full prior to the effective date.

4. Cancellation Policy

Cancellations made more than 30 days prior to the event date will not incur a charge where no goods or resources have been committed.

Cancellations made between 14 and 30 days prior to the event date will incur a 50% charge of the total booking value. 

This reflects supplier commitments, preparation planning, and allocated production time.

Cancellations made within 14 days of the event date are non-refundable, as goods, staffing, and resources will have already been committed.

At our discretion, we may be able to offer a credit note or rebooking for a future date, subject to availability. 

Any credit issued must be used within 3 months of the original event date.

5. Late Payment & Debt Recovery

Payment must be received by the due date stated on the invoice.

In accordance with the Late Payment of Commercial Debts (Interest) Act 1998, Fox & Finch Catering and Fox & Finch Corporate Catering reserves the right to charge statutory interest at 8% above the Bank of England base rate, together with fixed compensation and reasonable recovery costs on overdue invoices.

Where payment terms are breached, we reserve the right to:

Suspend current services

Release future booking dates

Require full prepayment for subsequent orders

6. Card Payments

Payment by bank transfer is accepted without charge.

Where payment is made using a commercial or corporate credit card, a 3% processing fee will be applied to cover transaction costs.

This fee will be clearly itemised on the invoice prior to payment.
